Billing Statements

Doorway’s billing statements feature allows users to generate a monthly billing statement that includes transactions posted onto the selected account as well as a beginning, and an ending balance for the month. The printed Billing Statement offers a payment section/amount to be mailed back to the Housing Authority from the tenant if need be. Read below for more information on how to run billing statements from both a tenant ledger and in bulk.

A. Office Address: The address to the housing authority as reflected in the configuration of your Doorways instance.

B. Current Amount Due: The total balance, minus any repayment balance, for the month you are running the billing statement. Note: If any transactions are posted after you run the billing statement, this number may change.

C. Amount Enclosed: This field is for the household to use when returning money to pay toward their account.

D. Household Mailing Address: The default address is the Unit Address, but if any other addresses have been added to the contact section of the Household Overview, and they have a star next to them, this will override the unit address as the mailing address.

E. Account: The PPU associated with the tenant ledger.

F. Billing Date: The last day of the month for which you are running the billing statement.

G. Billing Statement Number: A unique, sequential, number to match the billing statement with the top and bottom half of the statement. Note: This number is generated each time you run the billing statement wizard, even if you cancel out of the screen.

H. Office Address and Account: The office address and the unit address tied to the tenant ledger.

I. Transactions Breakdown: All transactions posted for the month as of the last day of the month. Any transactions posted after you run the billing statement will not be included. When running a billing statement for the next month, all scheduled transactions will be included in the breakdown.

J. Repay Balance: Any repay balance for the tenant. Note: This amount is deducted from the total AR balance when reporting the current amount due.

K. Comment/Note: This will be the comment added when running the letter generation wizard.

L. Aging: A breakdown of the Accounts Receivable balance.

Step-by-Step Guide on How to Print/View a Billing Statement From Tenant Ledger:

  1. Navigate to the household’s page you wish to print/view the billing statement for.
  2. Click on the “Tenant Ledger” tab on their household overview.
  3. Click the “Billing Statements” Link:
  4. Select the month you want to run the billing statement for from the dropdown. You have the option of the current month and the next month.
  5. The Generate Letter wizard will run, prompting you to fill out an optional comment on the billing statement.
  6. Click Next to preview the billing statement.
  7. Click Next again to generate the billing statement.
  8. Hover over the Billing Statement to download or print the document.
  9. You can also email the billing statement to the tenant before clicking Done.
  10. Each time you generate a billing statement for a household, a copy will be made within this section of the tenant ledger:

Step-by-Step on How to Print Bulk Billing Statements:

  1. Navigate to the Accounting section in the navigation header at the top of the screen.
  2. Click the “Billing Statement” tab.
  3. Click “Generate Billing Statements”:

4. Fill out all the necessary fields:

A. Comment: Optional comment, this will appear in the “note section of the billing statement from the screenshot at the top of the screen.

B. Month: You can choose the current month or the next month.

C. Program: Select All Programs or a single program from the list of programs.

D. Include Vacant Households?: Checking this box indicates you would like to run billing statements for vacant households.

E. Include Zero Balance Households?: Checking this box indicates you would like to run billing statements for zero balance households.

F. Include Credit Balance Accounts/Households?: Checking this box indicates you would like to run billing statements for credit balance accounts/households.

G. Billing Statement Template: If multiple templates are available, you can select which template to run.

H. Generate: The generate button indicates you have made your selections and would like to generate the bulk billing statements.

5. Once generated, your billing statements will appear for download. Here, you can click the download icon next to each set of billing statements. Note: If more than 50 households exist in a program or in all programs combined, your downloads will be available in groups of 50:
