New Transfer Unit Household Action
The new household action “Transfer Unit” is now available within the Kanso action wizard. To navigate to the “Transfer Unit” action, first select the tenant’s household, when the Household overview opens, select the action wizard on the left hand side of the screen. Once the action wizard is open, select the household actions option and choose “Transfer Unit”.
When a Unit is transferred it triggers 3 different household actions to be documented on the household’s “Household History” tab. The three actions you should see are a (Move Out, Assignment, Move In).
The “Move Out” action will be defaulted to the day before the Move in action and will represent the unit being moved out of.
The “Assignment Action” will be defaulted to the first of the month and represent the new unit being moved into.
The “Move In” action will be defaulted to the first of the month and represent the new unit being moved into.
The “Move out” date and “Move in” date can not be the same date.
Starting the Transfer Unit Action
Once the “Transfer Unit” is selected, the user will be presented 5 steps to go through and confirm to complete the “Transfer Unit” action.
Confirm Unit Screen
The first screen presented to the user is the Confirm Unit screen. Here the user will confirm the unit being moved out of by the tenant.
Unit Select Screen
The second screen is the Unit Select screen. Here the user is presented with a list of available Units to move into. The user will select and confirm the unit the household is moving into.
For now “transfer actions” can only be done within units that exist within the same program. This will be updated in the near future.
The work around for this is to manually change the Program the unit is in to the desired Program.
Transfer Date Screen
The “Transfer Date” screen is the third screen presented to the user during the Transfer Unit action. Here the user is presented with 3 fields. (Transfer Date, Option to set Custom Recert Date, Next Custom Recert Date)
- Transfer Date- This field is defaulted to be set for the first of the current month. The user must confirm the Move In date here
- Set Custom Recertification Date- This is a checkbox the user can select/deselect. If selected, the next field’s date must be set.
- Next Recertification Date- This field is defaulted to be set for 6 months after the provided selected date from the previous field. The user can change the date if need be.
The unit address, program, and project at the bottom of this screen should match the current unit the tenant is in. This will not change until the action is completed.
Rent Details Screen
The Rent Details Screen shows a breakdown of the monthly rent payment. The user is also presented the Yes/No option “Does this household qualify for a special, fixed rent based on Housing Authority Policy?”
When “No” is selected, the Monthly Rent breakdown is shown for verification. The user can confirm the information provided and move to the next screen.
When “Yes” is selected, 2 new fields are presented to the user (Rent Charge- Monthly, Fixed- Rate Reason)
Both fields are mandatory to move to the next screen.
A “View and Print Full TTP Worksheet button exists at the bottom of this screen. If selected, a full version of the TTP Worksheet will open and be presented to the user.
Review and Complete Screen
This is the final screen to complete the “Transfer Unit Action”. On this screen, the user is presented 3 fields. (Waiting List Removal, Review information and Complete the Transfer, Notes)
- Waiting List Removal- If the Tenant is on a waiting list this field will become active and the user can decide whether or not to take the tenant of the current waiting list they are on.
- Review information and Complete the Transfer- Users can confirm the 4 verifying fields of the transfer action.
- Notes- Optional field. The user can add any addition notes here.
After the Transfer Action is Complete
After the transfer action is complete the user can verify the move in by checking that the address in the tenant overview has changed.
When navigating to the Household History tab the user will now see the 3 different household actions representing the transfer action at the top of the household history.
To undo the Transfer Action, the user will have to undo the 3 different household actions, starting with the Move In, Assignment, Move Out.
Configuring Action Forms for the Transfer Unit Action
To generate forms during a Transfer Union action the user must configure the Action forms to trigger during this action. To do so, navigate to Configuration> Action Config> Action Forms> New Action Form Config +
Once the New Form Config pop-up is open. The user is presented with 4 mandatory fields (Program, Project, Action Type, Form).
Once the transfer action is configured to produce the users desired form selection and a transfer action is complete, the form(s) will generate and be downloadable on the Household History Tab under the final action of the three combined to make the Transfer Unit. The documents will live in the Move In action of the sequence.
