Work Orders

Work Orders Overview

MAINTENANCE > WORK ORDERS

A. Show Filters: Allows you to pick and choose which type of work order appears in the list by priority, status, location, department, and assigned to.

B.  Search: Begin typing a work order number, assigned to name, address, or summary and the work order list will filter to the search you’re doing.

C.  New Work Order: Click to begin the process of Creating a New Work Order.

D.  Work Order #: List of work orders by their assigned number.

E.  Created: Shows the date and time the work order was created.

F.  Priority: View priority level of work order:

Normal
High
Emergency

G. Assigned To: View which user the individual work order is assigned to. If none, the assignment status is unassigned.

H. Billable Tenant: This shows you who the work order is going to be billed to, regardless of whether or not this person is currently living in the unit.

I. Address: Address of the housing unit or common area associated with the work order.

J. Summary: Quick summary of work to be done on the unit or common area.

K. Status: View the current status of work order:

Unassigned
Assigned
In progress
In Review
Closed

L. Trash Icon: Click to delete work order. 

Work Order Details

A. Back to Work Orders Overview: Clicking here will take you back to the main work orders screen.

B. Work Order Number: The unique number associated with this work order.

C.  Requested By: Includes the user, date, and time work order was requested.

D. Work Order Documents: Click here to print any reports or letters associated with the work order.

E. Delete: Delete the work order.

F. Work Order Information: Includes a summary of the request, address, and billable household tenant.

G. Details, Images, Documents, and Cost Links: Clicking the different links will navigate to the associated pages. Visit Work Order Attachments: Images and Documents or Work Order Costs for more information.

H. Work Order Details: Includes the work requested, maintenance activity, priority level, permission to enter, status, assigned to, as well as the day and time it was assigned to a user, address, which household is responsible, and department.

I. Edit Inspection Details: Click this button to open the edit view of the inspection details. After making any changes click the “Save” button.

J. Work Completed Field: When the status of a work order is in progress, the work completed field is available, as well as a check box to confirm the smoke detector was inspected.

K. Proceeding Buttons: Depending on the current status of the work order these proceeding buttons will appear. Clicking them will set the work order to the next status:

In Progress

Review

Completed

L. Custom Attributes: Clicking this icon allows you to set values on any custom attributes that have been configured for your site. Check out the documentation on Custom Attributes for information.

M. Comments: Click the “+” to open the comment text field. Click “Save” to add the comment to the work order.
